What You’ll Need for the Migration

To migrate form Office 365 to Gmail, make sure to have the following at hand:

Set Up the Migration

1. Open MailJerry and click on “New Migration”.
 
2. In the section “Existing Address”, select Microsoft / Office 365 as account type.
 
3. Enter your email address in the field “Username”.
 
4. Click on “Connect with Microsoft Account” and follow the steps in the Microsoft
sign-in dialog to authenticate with your account

5. In the section “New Address”, select Gmail / Google Workspace as account type.
 
6. Enter your email address in the field “Username”.

We recommend to enable this option only if you need to migrate a very large mailbox and are in a hurry. By doing so, MailJerry will migrate your emails to Gmail as quickly as possible, ignoring Google’s bandwidth limitations.

Step 02:
Verify Your Migration

8. As soon as you connected both accounts, click on “Check Settings”.
 
9. MailJerry now runs a health-check for both accounts and gathers all necessary information about the planned migration.

❓ The mailbox check takes very long, is this normal?
Usually, the mailbox check is performed within one or two minutes. But for large mailboxes, the check might take a little more time. So please be patient and wait until the check finished, especially if it takes a few more minutes to analyse an individual folder that contains lots of large emails.

10. As soon as the mailbox check finished, you can review the planned migration on the summary page.
 
On this page, you can also enable the auto sync, set up a date filter to only migrate data within a given date range or configure advanced settings for the migration.

11. Now all that is left to do is click on “Start Your Migration”. MailJerry will now migrate your email data from Office 365 to Gmail.

Tip 01:
Automatically Perform a Delta Migration

As soon as your migration finished, enable the auto-sync to automagically perform a delta migration every three hours:
 
1. Open your migration by going to the “Overview” and selecting your migration.
 
2. Scroll down to “Options” and enable the toggle “Automatically synchronise emails for 10 days”.
 
➡️ This will perform a delta-migration every three hours, migrating data that was received during the initial migration to your new account.

➡️ To immediately perform a delta migration, simply click on the button “Sync Now”. If you’d like to keep your accounts synced for more than 10 days, simple enable the backup mode with a daily, weekly or monthly interval. 

Tip 02:
Enable the Migration Cache

Before starting the migration, enable the migration cache in the advanced settings.
 
➡️ By doing so, MailJerry will create a cache for your migration. With this cache file, it is possible to identify which messages were already migrated. So if you move or delete messages in the target mailbox, they will not be migrated again when performing a sync or delta migration.

Enable the “Reduce Bandwidth” Option

To speed up your migration, enable “reduce bandwidth” in the advanced settings.

Alternative Methods toMigrate from Office 365 to Gmail

When searching for tutorials on how to migrate from Office 365 to Gmail, you’ll likely come across two common alternative methods:
 
a) Migrating from MS 365 to Gmail by using Outlook
b) Performing the migration with the built-in Gmail migration tools

Migrate from Office 365 to Gmail using the Outlook Email Client:

You can use Outlook in two ways to migrate your data over to Gmail:
  1. Drag & Drop: Add your new Gmail account in Outlook and manually drag your data from the old account to the new one.
  2. PST Export: Export each folder as a PST file and import these files into Gmail.
🚫 Why We Don’t Recommend Outlook for the Migration:
  • High Risk of Data Loss: By manually migrating data using Outlook, it’s very easy to forget folders or emails, leading to incomplete or inconsistent migrations.

  • Limited Capacity: Outlook struggles with migrating large mailboxes or attachments. The migration can easily break when exceeding Gmails bandwidth limits.

  • Extremely Time-Consuming: Manual transfer can take hours or even days, making Outlook an acceptable solution only for very small mailboxes.

  • No Delta Migration: New emails received during migration must be moved manually – there’s no automatic sync.

  • Long Cutover & Downtimes: Since mailboxes shouldn’t be used during the migration, you need to expect long cutover and downtimes.

  • No Data Accuracy: Especially when migrating emails for clients, guaranteeing data accuracy is an important factor, which cannot be fulfilled when manually migrating email data with Outlook.

  • No Monitoring or Logs: There’s no progress tracking, summary, reporting or log files that help you to verify and confirm that all email data was migrated to Gmail.

Migrate from Office 365 to Gmail using Gmail’s Migration Tools:

Gmail provides two native migration options:
  • IMAP Migration Tool
  • GWMME (Google Workspace Migration for Microsoft Exchange)
While these tools offer basic automation and limited progress tracking, they also come with major downsides.
🚫 Why We Don’t Recommend Google’s Native Migration Tools:
  • Very Time Consuming: Google migration tools are very slow, because they hone Gmails bandwidth limits to protect their cloud infrastructure. Of course, Google doesn’t offer any workarounds, limiting your migration to a daily upload of 500 MB.

  • Complex Setup: Both tools require creating and uploading mapping CSV files – a tedious task prone to configuration errors.

  • Risk of Data Loss: GWMME requires to manually export a PST file for every folder, which makes it easy to accidentally skip individual folders or messages.

  • Limited Monitoring: Progress visibility is minimal, and Google doesn’t provide detailed logs or error reports.

  • Not Suitable for Medium and Large-Scale Migrations: Googles tools might work for small mailboxes but aren’t suitable for professional or enterprise-level migrations due to limited control, validation, and reporting features.

I have IMAP folders in my Office 365 account. How are they converted to Gmail labels?

My migration to Gmail is extremely slow. Is this normal?

When transferring large mailboxes, you might exceed the Gmail bandwidth limit of 500 MB of uploaded data per day.
 
As soon as you exceed this limit, your mail migration proceeds extremely slowly or pauses temporarily. Please do not stop the email migration if you encounter this issue. It is no problem at all if your migration runs longer than 24 hours.
 
While your email migration is running, you can use your mailboxes as usual. To migrate emails you received during the transfer, simply activate the mailbox sync in MailJerry.
 
And in case you’re in a hurry, consider enabling the option “Ignore Google Bandwidth Limits”.

What does the option „Ignore Google Bandwidth Limits“ do?

When enabling the option „Ignore Google Bandwidth Limits“, MailJerry will ignore the existing Gmail limits and tries to import your emails as quickly as possible.
 
But heads up, there’s one downside: It is possible that your import breaks after some time, since Google sooner or later kills the connection to your account.
 
If this happens, you can simply start the email migration again, this time disabling the „Ignore Google Bandwidth Limits“ option. MailJerry will pick up where you left, so you don’t loose any progress you made so far.
 
Plus: You were able to enjoy a much quicker migration as long as Google allowed you to.

The auto-sync creates duplicates. What can I do?

If this happens, your MS 365 account is configured to not use standard email headers. To prevent duplicates, go to the „Settings“ tab in MailJerry, scroll down to „Email Header Settings“ and change the value to Message-ID.
 
Now stop the auto-sync on the finished migration and start the migration again. This time, the migration will only take a few minutes, as only emails that are not already imported into your Gmail account will be migrated. You can then enable the auto-sync for the new migration and won’t experience any duplicates.

Why does the number of migrated emails differ between Office 365 and Gmail?

If the message count differs between your Office 365 and your Gmail account, your emails might be grouped into conversations in your Gmail account. To see the correct message count, turn off the conversation view in your Gmail account.
