Kolab Now is a privacy-focused email and groupware service based entirely on free and open-source software. Hosted in Switzerland, Kolab Now is operated by Apheleia IT AG and was originally launched in 2013 under the name MyKolab. What sets Kolab Now apart is its commitment to data privacy: all data is stored on Swiss servers, protected by some of the strictest privacy laws in the world, and the entire platform is built on transparent, auditable open-source technology.
Beyond email, Kolab Now offers a full suite of groupware features, including calendars, contacts, tasks, and file storage – all accessible via the web interface or through standard protocols like IMAP, SMTP, and POP3. Whether you use a @kolabnow.com address or your own custom domain, the server settings remain the same. Below, you find all current Kolab Now email settings to easily set up your account in any email client.
How to Set Up Your Kolab Now Email Address
If you wish to add your Kolab Now email account to any email software (e.g. an email client or an email migration tool), simply select the desired protocols (in general: IMAP & SMTP) from the settings listed below.
Kolab Now IMAP Settings for Incoming Emails
Add these settings in your email client in the section for "Incoming Emails" to be able to receive emails.

In case you choose POP3 over IMAP to set up your Kolab Now email account in your email client, ensure to use the following settings for POP3:

POP3 or IMAP: What Should I Use for My Kolab Now Email?
In general, use IMAP instead of POP3. Here's why:
With IMAP, your emails remain stored on the Kolab Now servers and are accessible from multiple devices. Changes (read/unread status, deletions, folder moves) sync across all devices. If you lose your device, your emails are still on the server, so there is no need for a local email backup.
But are there any reasons to opt for POP3? Since emails are downloaded to your device when using POP3, you can easily access your emails, even if you're offline. Furthermore, when running out of storage space in your Kolab Now account, using POP3 can free up storage space, as emails are downloaded to your device and can be deleted from the server.
⚠️ Make sure to have a backup up and running on your computer when opting for POP3. Otherwise, your emails would be lost if the device containing your emails is lost or broken.
How to Migrate Emails From / To Kolab Now
Do you need to migrate emails from your Kolab Now account to another provider? Or do you wish to migrate your old emails to your new Kolab Now account? If so, simply follow these steps:
➡️ Download our email migration tool or alternatively start your migration here in the Browser.
➡️ Open MailJerry and click on "New Migration".
➡️ In the fields "Existing Address", select your account type and enter the email credentials for the email account that contains your email data.
➡️ In the section "New Address", select your account type and enter the settings of your new account (e.g. the Kolab Now IMAP settings above).
➡️ Now start your migration by clicking on "Start Migration".
